Executive Office Manager / Senior EA – Exciting Startup / Founder-led business – Mayfair – c£60k+ plus bonus and benefits

We have an exciting entrepreneurial Office Manager / Senior EA role for someone who will walk in on week 1 and set the bar high.
Our client is a fast-growing, ambitious company at an early stage, so this newly created role means you wouldn’t be stepping into someone else’s shoes and can truly make it your own.
Based in beautiful offices in the heart of Mayfair, you will make this your ‘work home’ and take immense pride in the environment you manage.

Working closely with the Founder and CEO, you will join a collaborative and supportive environment and become a lynchpin to the team; this is a central role within the organisation and will continue to grow as the business scales.

Who we’re looking for:

This is not an average Office Manager role and certainly wouldn’t be suitable to those who wait to be told what to do. This is a hands-on, front-facing, team-supporting dual-function role for a high calibre Office Manager / Executive Assistant who likes to run a tight ship and thrives on providing executive level support.
You will be a proactive, highly discreet, commercially minded individual with an incredibly warm and personable disposition and a calm and reassuring nature.
You will relish organising people, teams and offices; will always be thinking three steps ahead; will continuously be thinking about the business and how your role directly impacts success; and you will be as comfortable liaising with HNWIs and international dignitaries as you are with suppliers and stakeholders.

 

Key responsibilities as the Office Manager / EA:

  • Operational backbone of the office
  • First point of contact for all clients, stakeholders, suppliers and external parties
  • Providing trusted right-hand support to the Founder and CEO
  • Effective gatekeeping
  • Extensive and complex diary management
  • Coordinating all travel arrangements
  • Facilitating meetings – meeting and greeting clients and visitors, maintaining the meeting rooms, organising all documentation
  • Organising and hosting events
  • Liaising with external parties, client teams and international offices of HNWIs
  • Initiating process improvements, sourcing new systems and technology and taking ownership of processes and procedures
  • Managing a beautiful office space and supporting the office fit-out, working with the founder, CEO and architect
  • Proactively solving problems and issues – both as the OM and EA
  • Supporting charitable foundation of the organisation
  • Maintaining project management tools, databases/CRMs and office systems

Key skills, experience and attributes we’re looking for:

  • Demonstrable success in similar Office Manager / Senior EA roles (c5+ years)
  • Relevant experience working in fast-paced SME, scaleup or founder-led organisations
  • Proven, hands-on end-to-end office management experience (facilities, suppliers, compliance, systems etc.)
  • C-Suite / Founder level EA experience
  • Excellent organisational skills with ability to juggle many competing priorities
  • Complex diary management expertise
  • Impeccable communication skills (written and spoken) and the ability to build lasting relationships at all levels
  • High level of discretion and confidentiality
  • IT savvy with proficiency in MS365 and/or Google Workspace and comfortable with digital platforms, project management tools and booking systems (platforms such as Notion, Asana, Monday etc.)
  • Proactive problem-solver – someone who takes ownership and uses initiative
  • Polished and professional with the desire to represent the business and ability to act as a front-of-house presence
